What makes a receipt valid
A receipt is proof that a transaction happened. For it to serve that function — legally and practically — it needs to contain enough information to identify the transaction unambiguously. That means the right fields, filled in correctly, every time.
The good news is that writing a receipt is straightforward once you know what to include. This guide walks through the required fields, shows examples for the three most common receipt types (cash, service, and rent), and explains where people typically go wrong.
Core fields every receipt needs
Regardless of the type of transaction, every receipt should include:
- Receipt number — a unique identifier, separate from any invoice number
- Date of payment — the date money was actually received (not the invoice date)
- Payer's name — who made the payment
- Payee's name and contact info — your business name, address, and email
- Description of goods or services — what was purchased or what the payment is for
- Amount received — the exact dollar amount paid
- Payment method — cash, check, bank transfer, credit card, etc.
- Signature or authorized stamp — especially important for cash transactions
If tax was collected, show it separately: pre-tax subtotal, tax amount and rate, and total. This is essential for clients who need to claim tax credits or file expense reports.
Cash receipt example
Cash transactions are the highest-risk situation for both parties — there's no bank record to fall back on. A proper receipt is the only documentation that the transaction occurred.
A cash receipt for a landscaping service might look like:

The detail in the "For" field matters. "Services rendered" is too vague. Be specific enough that someone reading the receipt six months later knows exactly what it covered.
Service receipt example
A service receipt is issued after a freelancer, consultant, or service business receives payment. It confirms that the work described on a prior invoice has been paid.
A service receipt for a web design project might look like:

Including the invoice reference ties the receipt to the original billing document and makes reconciliation easy for both parties.
Rent receipt example
Landlords issuing rent receipts need to include a few additional fields: the rental period covered, the property address, and the remaining balance if applicable.

If a tenant is behind on rent and makes a partial payment, the "Balance due" field documents what remains. This becomes important if you ever need to initiate eviction proceedings.
Formatting your receipt
Receipts don't need to be fancy, but they do need to be readable and professional. A few formatting principles:
- Label it clearly — the word "Receipt" should appear prominently at the top, not buried in fine print
- Use a clean layout — separate fields with consistent spacing, not a wall of text
- Don't use the same template as your invoices without clear distinction — a receipt marked only "PAID" on an invoice template can be confusing
- Include your logo if you have one — it increases professionalism and helps clients file receipts in their records
